Who we are
Field and Venue is run by The Glamping Group Ltd, company number 13869417, VAT number 473668353. Registered office: The Laurels, Coneysthorpe, York, YO60 7DD. We decide what happens to the information below, and you can write to us at that address about any of it.
What we keep
From the listing form: your name, email, phone number if you give one, venue details and your answers about events, facilities, accommodation and site rules, including past event tent use, supplier arrangements and any request for a conversation about tent hire from The Glamping Group. Your email and phone number never appear on the site.
If you own a listed place and we've sent you a private link to its draft page: what you change on that page, and the email address you give for enquiries.
If you email us to have a listing corrected or taken down: your email and what you ask for.
From an enquiry form: your name, email, phone number if you give one, what the booking is for, the date or month, how many people, your postcode or town, the extras you ticked, your message, and whether you ticked the supplier box.
When you search by postcode, your browser asks postcodes.io for its position on the map. The site does not save searches in a database. Your browser keeps the last postcode you searched so the next page can use it. Clearing your browser's site data removes it.
Your search preferences are remembered on your device for each browse page. Clear all removes that page’s choices and saved postcode. A copied search link can include your postcode, event type, guest number and filters, so anyone you share it with can open the same search.
We use Cloudflare Turnstile to protect the shortlist email form from spam. See Cloudflare's Turnstile privacy policy for how it handles verification data.
Visit statistics
We keep anonymous, aggregate statistics about how this site is used: which pages are viewed, which searches are run (your postcode's district only, for example YO1, never your full postcode), which buttons are clicked, and roughly how long a page stays open. Nothing in these statistics identifies you: we don't set a tracking cookie, we don't build a profile of you, and we don't share this data with anyone outside The Glamping Group. We use it to fix confusing pages, and to show a venue's owner honest, totalled numbers such as "your page was viewed 40 times last month." Under UK data protection law this counts as processing for statistical purposes to improve our service, which we can do without asking first, provided we tell you plainly (this is us telling you) and give you an easy way to stop it.
Separately, with your permission only, we use Microsoft Clarity to record anonymised mouse movement, scroll and tap patterns (not anything you type), so we can see where a page is confusing. This is off until you say yes, in the banner that appears on your first visit or any time from the button below.
Your saved venues stay in your browser. A shared shortlist link contains venue identifiers, never your email. Clearing site data removes your saved selection. If browser storage is blocked, copy a shortlist link to keep your choices.
Accounts, if you choose to sign in
Signing in needs no password: we email you a one-time link that works once and expires after 30 minutes. We keep a one-way hash of your email to find your account, plus your plain email only so we can send you that link and tell you who you're signed in as; it is never shown on the site or passed to anyone else. A signed-in session is a cookie on your device; signing out, or deleting your account, ends it straight away.
An account can hold: your saved venues, synced across the devices you sign in on; any named shortlists you create and their share links; an optional "my event" profile (event type, date or month, guest count, a postcode district rather than your full postcode, budget band, whether you need somewhere to stay, and what you still need to arrange); and a single, unticked-by-default choice to see relevant partner offers in your account.
That offers choice is checked only inside your own signed-in account, never emailed: if you tick it and your profile matches, we show you an offer from a partner (today, only The Glamping Group, the company that runs this site), clearly labelled as coming from them. Emailed marketing would need a separate sign-up, which doesn't exist yet.
From your account page you can download everything held about it as a file, change the email you sign in with, or delete the account outright. Deletion removes your profile, consent, shortlists and sessions immediately; it does not touch venues saved in your browser's local storage, which are separate and work the same with or without an account. A person can hold both a hirer account and a separate venue-owner account; the two never share data.
Requesting a shortlist email sends us your email and selected venue identifiers. We keep that request and delivery status for seven days to send your shortlist and handle retries, then the record expires. A temporary email-address hash limits repeat requests and expires after a day. Requesting a shortlist email does not sign you up for marketing.
The venue questionnaire preview and private editor can save draft answers and corrections in your browser so you can return to them. They are not published automatically. Clearing browser site data removes those local drafts; downloading answers keeps a separate copy on your device.
What we do with it
A person reads each form. We use a listing form to decide whether to list the place, and may get in touch to check details. When a business emails to have its page taken down, we take it down.
An enquiry form has a separate box, unticked to start with: "Pass my details to up to 3 suppliers for the things I've ticked." We only pass your details to other suppliers if you tick it, and only for the extras you ticked. We keep a record that you ticked it, the wording you saw and when. If you leave it unticked, your enquiry stays with us.
The venue review has a separate, unticked choice to request contact about stretch tent or marquee hire from The Glamping Group, which is part of the same company. We keep that choice with the answers. Past tent use alone is not a request for contact or a marketing signup.
We use Postmark to email submitted venue-review answers and the contact email to our own team so they can check the update.
We don't sell anyone's details.
Where it's kept
We use Cloudflare to store form records. Private venue-review answers stay with the team until reviewed or removed. A submission reference confirms that the answers were saved for review; it does not mean they were published or emailed. Direct shortlist email requests are kept separately and expire after seven days. Postmark receives your email address and shortlist to send the message you requested. Saved venues without a direct email request stay on your device.
Your rights
You can ask what we hold about you, and ask us to correct or delete it, by writing to the registered office above. The law gives us a month to answer.
Changes
If this page changes in a way that matters, the date at the top changes with it.
